HeadDial Ltd (“HeadDial”, “we”, “us”, or “our”) respects your privacy and is committed to protecting your personal data.

This Privacy Policy explains how we collect, use, store, disclose, and protect personal data when you use HeadDial, including our websites, mobile applications, web applications, dashboards, audio tools, artificial intelligence features, performance scoring tools, and related services.

HeadDial is sport performance software. It is designed to support athlete mental performance, preparation, reflection, imagery, confidence, focus, recovery awareness, and sport-related performance development. HeadDial is not a medical device, mental-health service, therapy service, counselling service, crisis-support service, or clinical diagnostic tool.

This Privacy Policy applies to athletes, parents and guardians, sport psychologists, club administrators, authorised club staff, website visitors, and other users of HeadDial.

2. What HeadDial does

HeadDial provides sport performance software for athletes, clubs, teams, academies, sport psychologists, and performance organisations.

The platform allows invited athletes to complete sport performance check-ins, answer domain-specific questions, reflect on performance-related topics, access personalised mental imagery content, listen to generated audio, and receive performance-related insights.

HeadDial may generate a proprietary sport performance score known as HeadScore. HeadScore is based on weighted, domain-specific questions informed by sport performance and psychometric frameworks. HeadScore is intended to support reflection, preparation, and sport performance conversations. It is not a clinical assessment, medical score, mental-health diagnosis, or substitute for professional judgement.

3. Invited and managed access only

Athletes cannot create their own HeadDial accounts.

Athlete accounts are created, enabled, or managed by authorised sport psychologists, club administrators, or other authorised club users. Access to HeadDial is provided through clubs, teams, academies, federations, schools, or other enterprise customers who invite or set up athletes to use the platform.

This means your use of HeadDial may be connected to a club or organisation that has arranged access for you.

Depending on your role, your club or organisation may control:

  • whether you are invited to or set up on HeadDial;

  • which sport psychologist or authorised performance professional is connected to your account;

  • whether your account remains active;

  • what subscription, team, squad, or organisation settings apply;

  • who within the organisation is authorised to administer HeadDial access;

  • whether your access should be suspended, removed, or changed.

HeadDial uses role-based access controls. This means different types of users have different permissions.

Athletes should not share their login details with anyone else. If you believe someone has accessed your account without permission, you should contact HeadDial or your club as soon as possible.

4. Who can see athlete data

We understand that athlete performance data is sensitive and must be handled carefully.

Sport psychologists

Authorised sport psychologists connected with your club may be able to view individual athlete data where your club has enabled that access. This may include your responses, HeadScore, performance reflections, uploaded content, imagery-related data, training activity, and other sport performance information.

Sport psychologist access is intended to support athlete sport performance, reflection, preparation, and performance-related conversations.

Coaches

Coaches do not have access to individually identifiable athlete performance data through HeadDial.

This means coaches will not be able to view individual athlete responses, HeadScore data, reflections, uploaded content, imagery activity, mood, stress, confidence, sleep, injury, or similar individual athlete information through the platform.

Where available, coaches or club staff may receive aggregated, anonymised, or de-identified insights. These insights are designed so that individual athletes are not identifiable.

Clubs, coaches, sport psychologists, and authorised users must not attempt to re-identify athletes from aggregated, anonymised, or de-identified information.

Club administrators

Club administrators may have access to account administration information, such as user names, email addresses, team membership, invitation status, and account status. Unless specifically enabled and disclosed, club administrators do not access individual athlete performance responses or personal HeadScore details.

HeadDial personnel

Authorised HeadDial personnel may access limited personal data where necessary to provide support, troubleshoot issues, maintain security, investigate misuse, comply with legal obligations, or improve the service.

Access by HeadDial personnel is limited to what is necessary for legitimate business, security, support, and compliance purposes.

5. Personal data we collect

We collect different types of personal data depending on your role and how you use HeadDial.

Account and identity information

We may collect:

  • name;

  • email address;

  • username or account ID;

  • club, team, academy, or organisation;

  • role, such as athlete, sport psychologist, administrator, or authorised staff member;

  • age range or date of birth where required for eligibility, safeguarding, or age-appropriate protections;

  • parent or guardian contact details where required;

  • login and authentication information;

  • account status and invitation status.

Athlete profile information

We may collect information related to your athlete profile, such as:

  • sport;

  • team or squad;

  • position or role;

  • age group;

  • club or academy affiliation;

  • performance goals;

  • training preferences;

  • performance development areas;

  • other information you or your club provide to configure your HeadDial experience.

Sport performance responses

When athletes use HeadDial, we may collect responses to sport performance questions and check-ins. These may relate to:

  • confidence;

  • focus;

  • motivation;

  • stress;

  • mood;

  • sleep;

  • recovery;

  • preparation;

  • habits;

  • match or competition readiness;

  • training reflection;

  • performance routines;

  • goal setting;

  • imagery practice;

  • self-perception;

  • pressure management;

  • competition experience;

  • injury status or injury-related availability;

  • other sport performance factors.

HeadDial is not designed to collect medical records, clinical diagnoses, treatment plans, or clinical mental-health information. However, some information you choose to provide, including information about injury, sleep, stress, recovery, or mood, may relate to your health, wellbeing, or physical condition.

HeadScore and derived insights

We may generate performance-related scores, trends, summaries, recommendations, and insights from the information you provide.

This includes HeadScore and related domain-level insights.

HeadScore is proprietary to HeadDial. It is designed for sport performance support and is not a medical, clinical, diagnostic, or therapeutic assessment.

Uploaded content

You may be able to upload or provide content through HeadDial, including:

  • text notes;

  • reflections;

  • journal-style entries;

  • audio recordings;

  • video files;

  • spoken responses;

  • imagery prompts;

  • feedback;

  • other user-generated content.

You should not upload medical records, clinical mental-health information, confidential information about other people, or information you are not authorised to share.

Audio and generated content

HeadDial may generate personalised audio, scripts, imagery exercises, summaries, prompts, and related sport performance materials.

To provide these features, we may process:

  • your selected responses;

  • sport performance inputs;

  • imagery preferences;

  • text prompts;

  • generated scripts;

  • generated audio files;

  • voice or audio-related data, where applicable.

Technical and usage data

When you use HeadDial, we may collect technical and usage information, including:

  • device type;

  • browser type;

  • operating system;

  • IP address;

  • approximate location derived from IP address;

  • app version;

  • pages or screens viewed;

  • features used;

  • session activity;

  • timestamps;

  • referral information;

  • error logs;

  • crash reports;

  • diagnostic data;

  • authentication logs;

  • security logs.

Analytics data

We may collect product analytics to understand how users interact with HeadDial, improve the platform, monitor performance, and identify issues.

This may include information about:

  • feature usage;

  • navigation paths;

  • completion rates;

  • session activity;

  • device and app performance;

  • anonymised or pseudonymised usage patterns.

Communications and support data

If you contact us, we may collect:

Billing and enterprise customer data

For clubs and enterprise customers, we may collect:

  • business address;

  • tax or accounting information.

Athletes do not pay HeadDial directly where access is provided by a club or enterprise customer.

6. Special-category or sensitive data

HeadDial is sport performance software, not a healthcare or therapy service.

We do not intentionally request medical records, medical diagnoses, clinical mental-health diagnoses, treatment plans, medication information, or therapy records.

However, some information processed through HeadDial may be considered sensitive or special-category personal data under applicable data protection laws, particularly where it relates to injury, physical condition, wellbeing, stress, sleep, mood, or similar personal factors.

Where we process sensitive or special-category data, we do so only where permitted by law and only for the purposes described in this Privacy Policy, including providing sport performance software, supporting authorised sport psychology workflows, maintaining platform security, and complying with legal obligations.

Where required, we rely on an appropriate lawful basis and an additional condition for processing special-category data.

7. Data about children and young athletes

HeadDial is available only to users aged 16 and over.

Users under 18 should use HeadDial only with appropriate parent or guardian supervision and where their club, academy, school, or organisation has the necessary authority, permissions, and safeguards in place.

Where a club invites or sets up young athletes to use HeadDial, the club is responsible for ensuring that it has obtained any required parental consent, guardian consent, athlete assent, safeguarding approval, school approval, academy approval, or other lawful authority required to invite, set up, and manage young athletes on the platform.

We take additional care when processing information about young athletes. This includes using role-based access controls, limiting access to individual athlete data, avoiding coach access to individual athlete performance information, and providing privacy information that is intended to be understandable.

Parents or guardians may contact us using the details in this Privacy Policy to ask questions about a young athlete’s personal data. Depending on the nature of the request, we may need to coordinate with the relevant club, sport psychologist, school, academy, or organisation.

8. How we use personal data

We use personal data to provide, maintain, secure, and improve HeadDial.

To provide the HeadDial platform

We use personal data to:

  • create, enable, and manage accounts set up by authorised sport psychologists, club administrators, or authorised club users;

  • authenticate users;

  • invite or set up athletes through club-managed workflows;

  • connect athletes with clubs and sport psychologists;

  • provide sport performance check-ins;

  • generate HeadScore and related insights;

  • deliver imagery training content;

  • generate personalised scripts and audio;

  • store user responses and uploaded content;

  • provide dashboards to authorised sport psychologists;

  • manage role-based access permissions;

  • provide technical support.

To support sport performance workflows

We use athlete data to support:

  • performance reflection;

  • mental performance preparation;

  • imagery practice;

  • confidence development;

  • stress and pressure awareness;

  • sleep and recovery awareness;

  • goal setting;

  • habit tracking;

  • sport psychology support;

  • performance conversations between athletes and authorised sport psychologists.

To generate AI-supported content

We may use personal data and user-provided inputs to generate:

  • imagery scripts;

  • personalised sport performance content;

  • audio exercises;

  • summaries;

  • prompts;

  • reflections;

  • suggested areas of focus;

  • other performance-related materials.

AI-generated content is intended for sport performance support only. It may not be accurate, complete, suitable, or appropriate for every user or situation.

To communicate with users and customers

We may use personal data to:

  • send account invitations;

  • provide service messages;

  • respond to support requests;

  • send administrative communications;

  • notify users about changes to HeadDial;

  • communicate with clubs and enterprise customers;

  • provide billing and contract communications.

To improve and develop HeadDial

We may use personal data, including pseudonymised, aggregated, or de-identified data, to:

  • improve platform functionality;

  • understand how users interact with HeadDial;

  • monitor product performance;

  • troubleshoot issues;

  • develop new features;

  • improve scoring models and content flows;

  • improve user experience;

  • test and evaluate service quality.

Where possible, we use aggregated, anonymised, or de-identified data for product improvement.

To keep HeadDial secure

We use personal data to:

Contract

We process personal data where necessary to provide HeadDial under our contracts with clubs, organisations, enterprise customers, or users.

Legitimate interests

We may process personal data where necessary for our legitimate interests or the legitimate interests of clubs, athletes, or authorised users, provided those interests are not overridden by your rights and freedoms.

These interests may include:

  • providing and improving sport performance software;

  • securing the platform;

  • supporting authorised sport psychology workflows;

  • preventing misuse;

  • managing customer relationships;

  • improving user experience;

  • generating aggregated insights;

  • maintaining business operations.

Consent

We may rely on consent where required, such as for certain optional features, marketing communications, cookies, or processing involving young athletes where consent is the appropriate legal basis.

Where we rely on consent, you may withdraw consent at any time. Withdrawal of consent does not affect processing that occurred before consent was withdrawn.

Legal obligation

We may process personal data where necessary to comply with a legal obligation.

Special-category data conditions

Where we process special-category data, such as data that may relate to health, injury, or wellbeing, we rely on an appropriate condition under applicable law. Depending on the context, this may include explicit consent, substantial public interest, employment or social protection obligations, safeguarding-related grounds, or another applicable condition.

The exact basis may depend on the role of the club, the athlete relationship, the jurisdiction, and the nature of the processing.

10. Artificial intelligence providers

HeadDial uses artificial intelligence and audio generation technologies to support personalised sport performance experiences.

We may use third-party providers including:

  • OpenAI;

  • Anthropic;

  • ElevenLabs.

These providers may process selected user inputs, prompts, responses, scripts, generated outputs, or audio-related data to help provide HeadDial features.

We use these providers to support functions such as:

  • generating imagery scripts;

  • generating personalised sport performance content;

  • generating audio exercises;

  • producing summaries;

  • creating prompts;

  • improving content relevance;

  • supporting performance-related reflection.

We configure third-party AI services where available to protect user data, restrict unauthorised use, and limit use of HeadDial data for provider model training.

AI-generated content is not medical advice, mental-health advice, therapy, counselling, diagnosis, or treatment. Users and authorised professionals should apply their own judgement before relying on AI-generated content.

11. Service providers and subprocessors

We use trusted third-party service providers to operate, secure, support, and improve HeadDial.

These may include:

Firebase

We may use Firebase for authentication, databases, hosting, storage, notifications, and backend functionality.

Azure

We may use Microsoft Azure for cloud infrastructure, hosting, storage, compute, security, or related services.

PostHog

We may use PostHog for product analytics, usage analysis, and platform improvement.

OpenAI

We may use OpenAI for AI-generated text, prompts, summaries, imagery scripts, and related content generation.

Anthropic

We may use Anthropic for AI-generated text, summaries, prompts, and related support or content workflows.

ElevenLabs

We may use ElevenLabs for voice synthesis, audio generation, and related audio processing.

Sentry

We may use Sentry for error monitoring, crash reporting, diagnostics, and service reliability.

These service providers process personal data only where necessary to provide services to HeadDial and are subject to contractual obligations intended to protect personal data.

We may update our service providers from time to time. Where required, we will provide notice or maintain a subprocessor list.

12. How we share personal data

We do not sell athlete personal data.

We may share personal data in the following circumstances.

With authorised sport psychologists

Individual athlete data may be shared with sport psychologists authorised by the relevant club or organisation.

With clubs and organisations

We may share account administration information with the club or organisation that invited you.

We may also share aggregated, anonymised, or de-identified insights with clubs or authorised staff.

Coaches do not receive individually identifiable athlete performance data through HeadDial.

With service providers

We share personal data with service providers who help us operate HeadDial, including hosting, analytics, AI generation, audio generation, error monitoring, security, and support providers.

With legal, regulatory, or safety parties

We may share personal data where necessary to:

  • comply with law;

  • respond to lawful requests;

  • enforce agreements;

  • protect rights and safety;

  • investigate misuse;

  • prevent fraud or security incidents;

  • respond to emergencies or safeguarding concerns.

In connection with business changes

If HeadDial is involved in a merger, acquisition, investment, financing, restructuring, sale of assets, or similar transaction, personal data may be transferred as part of that transaction, subject to appropriate safeguards.

13. International data transfers

HeadDial is based in the United Kingdom. Users are currently located mainly in the United Kingdom and Ireland, and HeadDial may expand globally.

Some of our service providers may process personal data outside the UK, Ireland, European Economic Area, or the country where you are located.

Where required, we use appropriate safeguards for international transfers, such as adequacy regulations, standard contractual clauses, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or other legally recognised transfer mechanisms.

14. Data retention

We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy.

Retention periods may depend on:

  • the club or organisation contract;

  • account status;

When a club contract ends, we may delete, return, anonymise, or retain data in accordance with the applicable agreement and legal requirements.

Athlete performance data is generally retained while the athlete account remains active and for a reasonable period afterwards, unless deletion is requested, the relevant club or organisation requests deletion, or a different retention period applies under the club agreement.

We may retain aggregated, anonymised, or de-identified data for longer where it no longer identifies an individual.

15. Security

We use technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration, or disclosure.

These measures may include:

  • authentication controls;

  • role-based access controls;

  • encryption in transit and/or at rest where appropriate;

  • access logging;

  • infrastructure security controls;

  • secure cloud providers;

  • monitoring and diagnostics;

  • limited employee access;

  • internal policies and procedures;

  • vendor due diligence;

  • incident response processes.

No system is completely secure. Users should protect their login details and notify us if they suspect unauthorised access to their account.

Depending on where you are located, you may have rights under data protection law.

Because many HeadDial accounts are created, enabled, or managed through clubs, sport psychologists, schools, academies, or organisations, we may need to coordinate some requests with the relevant club or organisation.

Account deletion requests

You may request deletion of your HeadDial account through the app, where available, or by contacting us.

Because athlete accounts are created, enabled, or managed by authorised sport psychologists, club administrators, or club users, we may need to coordinate with the relevant club, sport psychologist, school, academy, or organisation before completing a deletion request.

Where required by applicable law, we will delete, anonymise, restrict, or return personal data. We may retain certain information where necessary or permitted for legal, safeguarding, security, accounting, dispute-resolution, fraud-prevention, compliance, or legitimate business purposes.

Requesting account deletion may result in loss of access to HeadDial and may affect the ability of your sport psychologist or club to support you through the platform.

17. Parent and guardian rights

Parents or guardians of young athletes may contact us with questions or requests about a young athlete’s personal data.

Depending on the nature of the request and the applicable law, we may:

  • respond directly;

  • ask for proof of parental or guardian authority;

  • coordinate with the relevant club, sport psychologist, school, academy, or organisation;

  • direct the request to the club where the club is responsible for managing the athlete relationship;

  • coordinate account deletion, access, correction, or restriction requests where appropriate.

We encourage parents and guardians to discuss HeadDial use with young athletes and the relevant club or sport psychologist.

18. Club-managed accounts

If your HeadDial account was created, enabled, or managed through a club, academy, team, federation, school, sport psychologist, or other organisation, that organisation may be responsible for certain decisions about your account and data.

This may include:

  • setting up your HeadDial account;

  • inviting you to HeadDial;

  • assigning you to a team, squad, or group;

  • authorising sport psychologist access;

  • managing account status;

  • deciding whether your access should remain active;

  • deciding how long the organisation needs access to your data;

  • responding to some privacy requests;

  • coordinating account deletion requests;

  • obtaining required parental, guardian, school, academy, or safeguarding permissions.

HeadDial may act as a processor or service provider for some data processed on behalf of clubs and organisations. For other data, such as website usage, billing, security, support, analytics, and business administration data, HeadDial may act as an independent controller.

The exact responsibilities may depend on the agreement between HeadDial and the relevant club or organisation.

19. Account deletion

Athletes may request deletion of their HeadDial account through the app, where available, or by contacting us.

Because athlete accounts are not created directly by athletes and are instead created, enabled, or managed by authorised sport psychologists, club administrators, or other authorised club users, we may need to coordinate with the relevant club, sport psychologist, school, academy, or organisation before completing a deletion request.

When we receive an account deletion request, we may:

  • deactivate or restrict access to the account;

  • verify the identity of the requester;

  • notify or coordinate with the relevant club or organisation;

  • delete, anonymise, restrict, or return personal data where required;

  • retain certain information where necessary or permitted by law.

We may retain limited information where necessary for legal, safeguarding, security, accounting, dispute-resolution, fraud-prevention, compliance, or legitimate business purposes.

If you are under 18, we may need to involve your parent, guardian, club, school, academy, sport psychologist, or safeguarding contact where appropriate.

Deleting your account may permanently remove access to HeadDial and may affect your ability to receive sport performance support through the platform.

20. Cookies and similar technologies

HeadDial may use cookies, local storage, software development kits, analytics technologies, and similar tools to operate, secure, and improve the platform.

We may use these technologies to:

  • keep users signed in;

  • remember preferences;

  • authenticate users;

  • measure feature usage;

  • monitor service performance;

  • detect errors;

  • improve product experience;

  • protect against fraud or unauthorised access.

Where required by law, we will ask for consent before using non-essential cookies or similar technologies.

You may be able to control cookies through your browser settings. Some features may not work properly if cookies or similar technologies are disabled.

21. Marketing communications

We may send marketing communications to club representatives, enterprise contacts, or users where permitted by law.

Athletes will not receive unrelated marketing communications unless permitted by law and, where required, consent has been obtained.

You can opt out of marketing emails by using the unsubscribe link in the email or contacting us.

We may still send service-related communications, such as account, security, legal, or administrative messages.

22. Aggregated, anonymised, and de-identified data

We may create aggregated, anonymised, or de-identified data from personal data.

This may include statistics or insights about platform usage, performance trends, feature engagement, or general sport performance patterns.

Where data has been properly anonymised so that it no longer identifies an individual, it is not considered personal data under many privacy laws.

We may use aggregated, anonymised, or de-identified data to:

  • improve HeadDial;

  • develop new features;

  • conduct research and analysis;

  • provide aggregate reporting to clubs;

  • understand sport performance trends;

  • demonstrate platform effectiveness;

  • support business development.

We do not permit clubs, coaches, or other users to attempt to re-identify individuals from aggregated, anonymised, or de-identified data.

23. What users should not submit

HeadDial is not intended for clinical, medical, or emergency use.

Users should not submit:

  • medical records;

  • clinical mental-health diagnoses;

  • therapy notes;

  • treatment plans;

  • medication records;

  • emergency health information;

  • information about self-harm or harm to others;

  • confidential information about another person;

  • information they are not authorised to share.

If you are experiencing a medical emergency, mental-health crisis, or risk of harm, you should contact emergency services or an appropriate qualified professional immediately. HeadDial is not designed to monitor or respond to emergencies.

24. No medical or mental-health service

HeadDial provides sport performance software only.

HeadDial does not provide:

  • medical advice;

  • mental-health advice;

  • therapy;

  • counselling;

  • clinical psychology services;

  • diagnosis;

  • treatment;

  • crisis support;

  • medical monitoring;

  • injury treatment;

  • return-to-play medical decisions.

Any content, HeadScore, AI-generated output, audio, imagery script, prompt, summary, or performance insight provided through HeadDial is for sport performance support only.

Users, clubs, sport psychologists, and authorised professionals are responsible for applying their own judgement and seeking qualified medical or mental-health support where appropriate.

25. Safeguarding and risk concerns

HeadDial is not a safeguarding, emergency, crisis, or monitoring service.

However, if we become aware of information that indicates a serious risk of harm, safeguarding concern, legal issue, or immediate safety concern, we may take steps we consider appropriate. This may include notifying the relevant club, organisation, parent, guardian, emergency contact, safeguarding lead, legal authority, or emergency service where permitted or required by law.

We do not actively monitor all user content for safeguarding, medical, or emergency risks.

26. Data accuracy

HeadDial relies on information provided by users, clubs, and authorised staff.

Users are responsible for providing accurate information where required. Clubs and organisations are responsible for keeping account, role, team, and access information accurate.

HeadScore and other insights depend on the information submitted and the operation of HeadDial’s proprietary scoring and content systems. Scores and insights may not always reflect every relevant context or factor.

27. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.
